Privacy Policy

[Draft — reviewed and completed by the site operator before launch. Bracketed text marks details that need to be filled in or confirmed.]
This Privacy Policy explains how Ancient Library Guild (“the Guild,” “we,” “us”) collects, uses, and protects information about you when you use ancientlibraryguild.com (the “Site”).
Who we are
Ancient Library Guild is operated by [operator’s legal name / business entity], based in [country/address for legal notices]. For any question about this policy or your data, contact us at privacy@ancientlibraryguild.com.
What we collect
We collect information you give us directly, and a small amount automatically.
- Account information: email address, password (stored securely, hashed — we never see it in plain text), display name, and whether you’re registered as a reader or an author.
- Author profile content: if you register as an author — bio, tagline, avatar photo, and details about books you list (title, description, cover image, purchase link).
- Tournament activity: entries you submit and votes you cast. Your vote is private — other members can see aggregate vote counts, never who voted for what.
- Billing information: if you subscribe to a paid guild tier, our payment processor Stripe handles your card details directly — we never see or store your full card number. We do store your subscription status and tier.
- Technical data: basic, privacy-friendly analytics (via Vercel Analytics) about how the Site is used, aggregated and not tied to your identity via advertising cookies.
How we use it
We use your information to:
- Create and maintain your account and public profile (if applicable)
- Operate the Library, First Pages, Scribes, and Tournaments features
- Process guild membership payments and manage subscriptions
- Communicate with you about your account (e.g. email confirmation)
- Keep the Site secure and prevent abuse (e.g. vote manipulation)
- Understand how the Site is used, in aggregate, to improve it
Who we share it with
We don’t sell your data. We share it only with the service providers that help us run the Site, each acting under their own privacy commitments:
- Supabase — our database, authentication, and file storage provider. Your data is stored in Supabase’s EU (Frankfurt) region.
- Stripe — our payment processor, for guild membership billing.
- Vercel — our hosting provider, which also provides the privacy-friendly analytics mentioned above.
Some of these providers may process data outside the European Economic Area; where that happens, it’s covered by appropriate safeguards such as Standard Contractual Clauses.
Your rights
If you’re in the EU/EEA (or wherever data protection law grants similar rights), you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data (“right to be forgotten”)
- Restrict or object to certain processing
- Receive your data in a portable format
- Lodge a complaint with your local data protection authority (in Bulgaria, the Commission for Personal Data Protection)
To exercise any of these, email us at privacy@ancientlibraryguild.com. You can also delete most of your own profile information directly from your dashboard.
Cookies
We use a small, essential cookie to keep you signed in. We don’t use advertising or third-party tracking cookies.
Data retention
We keep your account data for as long as your account is active, plus a reasonable period afterward for legal, tax, or security purposes (for example, billing records related to guild memberships). You can request earlier deletion at any time.
Children’s privacy
The Site isn’t directed at children under 16, and we don’t knowingly collect data from them.
Changes to this policy
We may update this policy as the Site evolves. We’ll update the date at the top when we do.
